Recruitment Privacy Policy
Last Updated: August 2026 Comprehensive guidelines on how we collect, process, and protect candidate data during the recruitment lifecycle.
1. Introduction and Scope
This policy outlines how Sustainable Impact Capital Limited handles the personal data of job applicants and candidates engaging with our recruitment process. We are fundamentally committed to protecting your privacy and ensuring your data is handled securely, transparently, and in strict compliance with the General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This policy applies to all individuals who apply for a role with us, whether directly through our website, via email, or through third-party recruitment agencies.
2. Types of Data We Collect
During the recruitment process, we may collect, store, and process a wide range of personal data. This includes, but is not limited to: your name, contact details (address, email, phone number), CV/resume, cover letter, employment history, educational background, professional qualifications, interview notes, assessment results, and right-to-work documentation. We may also collect special categories of data, such as information relating to your health (to make reasonable adjustments during the interview process) or diversity monitoring data (which is collected on a purely voluntary basis and anonymized).
3. Purpose of Processing
We process your personal data primarily for the purpose of assessing your suitability for employment with Sustainable Impact Capital Limited. This includes evaluating your skills, qualifications, and experience against the requirements of the role; communicating with you about the recruitment process; checking your references; and verifying your right to work in the UK. We also process data to defend against legal claims and to comply with statutory and regulatory obligations.
4. Legal Basis for Processing
The primary legal bases for processing your personal data are our legitimate interests in recruiting suitable staff to manage and grow our business, and taking steps at your request prior to entering into a contract of employment. Where we process special categories of data or criminal records information, we do so on the basis of our legal obligations in employment law, or where it is necessary for the establishment, exercise, or defense of legal claims. Diversity monitoring data is processed only with your explicit consent.
5. Data Sharing and Third Parties
Your information will be shared internally for the purposes of the recruitment exercise. This includes members of the HR team, interviewers involved in the recruitment process, and relevant department managers. We will not share your data with third parties, unless your application for employment is successful and we make you an offer of employment. In that case, we will share your data with former employers to obtain references and with background check providers to obtain necessary background checks, in compliance with FCA regulatory requirements.
6. Data Security and Retention
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way, altered, or disclosed. If your application is unsuccessful, we will securely destroy your personal data six months after the recruitment process has concluded, unless you explicitly consent to us keeping your details on file for future opportunities. If your application is successful, personal data gathered during the recruitment process will be transferred to your human resources file and retained during your employment in accordance with our Employee Privacy Policy.
